Define the document and its source fields
Start with one frequently used document. Identify where each field comes from, including customer details, job information, dates, photographs and calculations.
Agree how missing information is handled. An incomplete report might be blocked from final approval, or marked as a draft, rather than quietly printing an empty space where a required result belongs.
Keep templates manageable
Use a controlled template with clear headings, labels and layout. Decide who can change it and whether different customers or services need their own versions.
Test longer names, multiple photographs and unusually large tables. A layout that works for a short example can fail when a real job contains more information.
Include review and approval
Decide whether staff preview the document before it is issued. If the process requires approval, record which document version was accepted and who made the decision.
Changes to a job after issue should not silently rewrite a previously delivered report. The business needs a clear way to produce a revised version and explain that it replaces an earlier one.
Make delivery and retrieval clear
Generated documents can be downloaded, sent through an agreed workflow or made available in a customer portal. Define who can access them and how they are associated with their source record.
