Can a workshop keep customer-owned materials separate from its own stock?

Two identical boxes arrive at a workshop. One contains material the business bought; the other belongs to a customer and is intended for a particular job. If the stock record treats both boxes as freely available, someone could allocate material that was never theirs to use elsewhere.

Record ownership when material arrives

A dedicated system could record the customer, job reference, quantity received and storage location. Labels or barcodes could help staff open the right record when they move or issue the material.

Ownership and availability are different questions. A material can physically be in your workshop while remaining unavailable for other jobs. The screens should make that distinction visible.

Follow use, waste and remaining material

Suppose a customer supplies ten components for assembly. Staff could record how many were used, whether any were damaged and what remains. The office could then discuss the remaining items with the customer using an identifiable record.

For sheet or roll materials, measurements and usable remainders may matter as well as item counts. Those rules should follow the way your workshop works.

Make exceptions part of the design

Agree what happens if a delivery has no job reference, the quantity differs from the paperwork or the customer asks for unused material back. Staff need a route to resolve the discrepancy without quietly changing the original receipt.

The software would record the arrangements your business approves; it would not decide ownership terms or settle a disagreement between the parties.

A useful first version

Begin with receipt, labelling, allocation to one job and a return of unused material. Test that journey with the workshop and office together. Digital Solutions can use those steps to plan a practical system before adding wider production features.
