Digital Solutions developed bespoke staff, site and office management software for Force One, a suction excavation business. The project began with the company's working processes and brought information that had been handled on paper into a central digital system.
What information does the system bring together?
The project connects staff management, jobs, site information and office administration. The supplied dashboard includes scheduling, operative timesheets, expenses, holiday and absence records, a staff phone book and a photo gallery.
These functions support different people, but the records relate to the same business operations.
Why connect site records with office work?
When job details and staff submissions live in separate places, the office may need to chase information or enter it again. A shared system provides a place to organise those records around the work they describe.
The important design question is what happens after a submission. Someone needs responsibility for reviewing the information, resolving queries and completing the next business step.
Why was a bespoke approach useful?
The system was built around Force One's requirements rather than starting from a generic set of screens. This allowed the development process to consider the company's site teams and office staff together.
A similar project should begin with real examples: a job, a timesheet, an expense claim and the exceptions staff regularly handle. Those examples expose requirements that a feature list can miss.
What should you decide before replacing paperwork?
Agree which records belong together and which roles can create, review or change them. Define the information required at each stage and how corrections are recorded.
Also plan the transition from existing records. Staff need to know where to find older information and when the new process becomes the normal way of working.
Can Digital Solutions build software around your operations?
Yes. Bring examples of your current forms and explain where information is delayed or duplicated. We can help define a system that connects your staff, jobs and office workflows.
