A Christmas group booking can involve more than reserving a time. Numbers may change, deposits may arrive separately and the organiser may need to collect choices from several people before the business can confirm the details.
Map the booking from enquiry to attendance
Write down what staff need to know: date, group size, contact person, available space and any service choices. Identify which details must be final before the booking is accepted and which can be confirmed later.
Capacity needs a clear definition. A venue may have enough seats but limited staff, equipment or kitchen capacity. A booking system should represent the relevant constraints rather than treating every available hour as interchangeable.
Agree the payment and change rules
Decide how deposits, final balances and changes in numbers will be handled. Give customers the business’s agreed terms before they commit. Do not leave staff to invent a different arrangement for each enquiry.
Consider who receives reminders and whether individual guests need to provide anything directly. Only collect information needed for the booking and make responsibilities clear to the organiser.
Check the exceptions
Test a reduced group, an increased group, a missed payment and a request to change the date. Staff should be able to see the current position without reconstructing a conversation from several inboxes.
Digital Solutions can review the workflow and the capabilities of your existing booking platform. Some businesses need configuration rather than a new build; others may benefit from a bespoke connection between bookings, payments and operational planning.
