How did digital timesheets remove a construction company’s hidden office workload?

By Rob Steadman, Digital Solutions

A construction company discovered that one employee was spending around half her working time chasing staff for timesheets or asking them to explain what they had written. The timesheet itself was only part of the job. The office was carrying the work needed to make the information usable.

This is the kind of detail that becomes important when looking at a business process. A handwritten form can appear simple for the person completing it while creating repeated questions for someone else.

Giving everyone the same structure

We built a digital timesheet with a consistent set of fields for staff to complete. The entries were typed, the structure was the same and the submitted information appeared in an admin panel.

That changed the flow from site to office. Staff were providing information through the agreed form, and the office had a central place to see it. The solution addressed how the information was captured as well as where it was displayed.

Freeing the employee for other work

The client told us she no longer had to do that chasing and deciphering job, making her far more efficient. The point was to remove that particular administrative burden and give her time for other responsibilities.

The reported half-time workload related to that employee’s role. It is not a claim that every construction business will save half its total staff time. Each project needs its own understanding of the work and the potential benefit.
