Software Handover: What Your Business Needs from Its Developer

Software handover gives a business the information and access needed to operate an application under the arrangement agreed with its developer. It should be considered during the project rather than assembled hurriedly at the end.

The contents depend on the contract and support model. Make those expectations explicit, including which accounts the business controls and what the developer continues to manage.

Agree the scope of the handover

List the application, its connected services and the environments involved. Identify what will be delivered, who receives it and how the business checks that the information is usable.

Code ownership and usage rights depend on the agreement. Record the agreed position clearly rather than assuming that receiving a copy of files automatically grants every right to change or reuse them.

Identify accounts and responsibilities

Document hosting, domain, app store and external-service accounts relevant to the product. Clarify who owns each account, who pays its charges and who manages access.

Transfer access securely and remove temporary permissions where appropriate. Credentials should not be scattered through ordinary documents or sent as a single unprotected package.

Include operating instructions

Useful documentation explains how the application is deployed, configured, backed up and restored. Include the dependencies and essential settings another authorised person would need to understand.

Staff also need guidance for routine operations, such as managing users and investigating a failed job. Technical notes alone may not explain the business administration process.

Check the handover works

Where the agreement includes technical handover, have an authorised person follow the instructions in an appropriate environment. Missing setup steps often become visible only when someone other than the original developer tries them.
