SaaS Customer Onboarding: Help New Users Get Started

SaaS Customer Onboarding: Help New Users Get Started

SaaS customer onboarding is the process of helping a new customer reach their first useful result. Creating an account is only the beginning. They may still need to set up their organisation, invite colleagues and understand the workflow.

Choose the task that demonstrates the platform’s purpose. For a booking system, that might mean adding a service and accepting a test booking rather than completing every setting at once.

Separate essential setup from optional detail

Identify what the customer must provide before they can use the main function. Ask for that information first and allow optional profile details or advanced settings later.

Explain why a step is needed. Users are more likely to complete a setting when they understand its effect, such as choosing opening hours before customers can book appointments.

Design for different account roles

The person paying for the subscription may not be the person configuring the platform. An administrator and an invited staff member can need different introductions.

Show each user the steps relevant to their role. Do not ask a staff member to make organisation-wide decisions they cannot change or do not understand.

Make the next action visible

A short checklist can guide a customer through setup. Use meaningful steps such as “Add your first service” and “Invite your team”, with direct links to the right screens.

Allow people to resume after a break. Completed steps should remain completed, and unfinished work should be easy to find without repeating the entire introduction.

Learn where people struggle

Track whether customers reach the first useful task and where they stop. Support questions can reveal confusing wording, missing information or a step that asks for too much too soon.

Test onboarding with someone who has not seen the application before. Digital Solutions can help design SaaS setup and guidance around the actions new customers need to complete, rather than a tour of every available feature.
