If staff retype the same customer and job information into multiple systems, identify the handovers, record ownership and integration options before adding another app.
Several digital tools do not automatically make one joined-up process
A business may have a website form, a CRM, a calendar and accounting software, yet still copy customer details between all four. Each product might work correctly on its own. The problem is the handover. When information changes in one place, the other tools may not know about it, or different employees may make different decisions about where the latest details belong.
Trace one piece of information from start to finish
Take a recent enquiry and write down everywhere the customer name, address, service requested and job reference were entered. Mark who typed each field and whether anyone checked it. Then identify the single system that should own each record. For example, your customer system might hold contact details while accounting software holds the official invoice. A connection should follow those responsibilities rather than letting every system overwrite the others.
Choose appropriate integration methods
An API may allow two services to exchange information, but availability depends on the products, the permissions you have and the functions their suppliers expose. In other situations a controlled file import may be sufficient. The right design also needs to handle failures, duplicate messages, rejected records and changes to data formats. “It connects” is only part of the requirement; you also need to know what happens when it does not.
Start with the most expensive handover
Do not integrate everything because it is technically possible. Start with the transfer that causes the most errors, delays or staff time. Measure the number of manual steps before and after the change. That gives you a practical test of whether the integration has improved the business.
Frequently asked questions
Can all business apps be connected?
Not necessarily. It depends on each supplier’s available integrations, APIs and permissions.
Will connecting systems remove every manual step?
No. Approvals, exceptions and checks may still need a person to review them.
