Discuss your software requirements
A business case is stronger when it uses observed work rather than optimistic assumptions. Before introducing software, record the time and effort involved in a few important tasks. Repeat the measurement after staff have had a reasonable chance to learn the new process.

A practical example
An office measures how long it takes to turn an approved quote into a job record and customer confirmation. After a pilot, it repeats the measurement using comparable jobs. It also records corrections, since a faster task is not an improvement if it creates more rework later.
Questions and answers
What should we measure?
Choose a small set of outcomes: task completion time, repeated entry, corrections, missed follow-ups or reporting effort. Use measures connected to the original problem rather than collecting figures simply because they are available.
How do we make the comparison fair?
Compare similar workloads and include exceptions. Record whether staffing, demand or other processes changed during the pilot. Those changes can affect results independently of the software.
Does saved time automatically become a financial saving?
No. Time may be used to serve customers, improve quality or manage more work. Describe that benefit honestly and distinguish capacity released from an actual reduction in expenditure.
Prepare for a useful first discussion
Bring an example of the work you want to improve, a typical record and an exception that currently causes difficulty. Explain who carries out each step and which existing tools are involved. Separate the essential outcome from optional improvements so the first proposal can address a manageable piece of work.
Agree how you will test the result before development begins. The people doing the work should check a complete journey, including a correction or unsuccessful outcome. Use those findings to refine the scope and clarify responsibilities for support after launch.
