Can we reduce the initial cost?
Start with a complete, useful workflow rather than fragments of many modules. Separate essential functions from later improvements. Do not remove the testing or access controls needed for the first release to work properly.
Prepare for a useful first discussion
Bring an example of the work you want to improve, a typical record and an exception that currently causes difficulty. Explain who carries out each step and which existing tools are involved. Separate the essential outcome from optional improvements so the first proposal can address a manageable piece of work.
Agree how you will test the result before development begins. The people doing the work should check a complete journey, including a correction or unsuccessful outcome. Use those findings to refine the scope and clarify responsibilities for support after launch.
