A £100 monthly payment and a £1,200 annual renewal represent the same yearly subscription amount. They do not have the same payment schedule. Our subscription calculator helps you compare costs on a consistent basis while leaving the contract decision in your hands.
Convert the frequency, not the meaning
Enter each actual payment and choose its billing frequency. A monthly amount is multiplied by 12 for the annual total. A yearly amount is divided by 12 for its monthly equivalent. This avoids adding an entire annual renewal to just one month of other subscriptions.
For example, an annual payment of £1,200 plus another system costing £80 monthly totals £2,160 a year. The monthly equivalent is £180. That does not mean £180 leaves the bank every month: the £1,200 renewal still falls due according to its contract.
Match the licence scope
Compare payments covering the same number of users, features and support arrangements. A headline per-user rate can look smaller than a whole-business payment while covering something quite different.
For this calculator, enter the total charge for the business. Keep VAT treatment consistent and separate ordinary recurring subscriptions from one-off setup or migration costs. If usage charges vary, record your assumption and remember that the calculator treats the amount as fixed.
Look beyond an advertised discount
When reviewing a monthly and annual offer, check what the annual commitment includes, when payment is due and what happens if your team size changes. Cancellation rights, refunds and renewal terms need checking with the supplier; the calculator does not assess them.
You can test each option by changing a row and noting the annual total. The one-to-five-year slider then shows that payment level continuing unchanged. It does not assume a discount will remain available or that future prices will stay fixed in practice.
Consider how the systems work together
A subscription that supports a critical process may justify its cost. A cheaper tool that creates repeated manual work may need a closer look. Use the subscription total alongside the paperwork calculator when you want to consider recurring fees and staff time separately.
Neither total is a quotation for a replacement system. Digital Solutions can discuss what you need the software to do, how the workflow fits together and what build and running costs would need to be considered before choosing a route.
