Field apps can be designed for offline work, but storing records, synchronising changes and resolving conflicts must be planned before development.
Offline use needs to be designed, not assumed
A mobile app may work beautifully in the office and fail on a building site, in a basement or in a rural area. If field staff need to inspect equipment, take photographs or complete forms without reliable reception, tell the developer at the start. A mobile screen is not automatically an offline-capable application. Some features can run locally; others need current information from a server.
Decide what staff must do without a connection
List the essential tasks: open assigned jobs, view approved instructions, complete a checklist, take photographs, capture a signature or write notes. Agree which records must already be downloaded before staff leave and how much storage the device needs. If an action depends on a live stock balance or immediate authorisation, a safe offline alternative or a clear restriction may be required.
Plan what happens when the phone reconnects
Synchronisation is more than uploading the form. The system should show whether work is saved only on the device, waiting to be sent or confirmed by the server. It needs to avoid duplicate submissions and deal with a record that another employee changed in the meantime. Testing should include switching between Wi-Fi and mobile data, closing the app, restarting the phone and coming back online after an extended period.
Make status obvious to the person using it
Staff should not have to guess whether an inspection has been received. A clear status message, safe local storage and a visible retry process can prevent lost records. Testing with real site conditions is more valuable than relying solely on an office demonstration.
Frequently asked questions
Can we take photos without internet access?
Yes, if the app is designed to save them on the device and upload them later.
Will every function still work offline?
Not necessarily. Features that require up-to-date server information may be limited until the connection returns.
