A conference speaker application can involve a proposed session, supporting documents, several reviewers and a final decision. Managing that through email can make it difficult to see which version was reviewed or who still needs to respond.
Collect the information reviewers need
A submission form could capture the session title, abstract, topic, proposed format and supporting material. Applicant contact details could be held separately from the material assigned for review.
Agree deadlines and revision rules. Reviewers need to know whether they are assessing the original submission or an approved updated version.
Define what anonymous reviewing means
An organiser could assign reviewers a version that omits the applicant’s name and contact details. That does not automatically make every submission anonymous: the text, file properties or attachments may identify the author.
Decide what staff check or redact, which people can see identities and how reviewer access changes after a decision. The design should follow the review method your conference actually intends to use.
Keep scoring and decisions separate
Reviewers could score against agreed criteria and provide comments. Organisers could see outstanding reviews, conflicting assessments and declarations that require reassignment.
A score should inform the process you approve rather than automatically promise a speaking place. Internal comments and feedback intended for the applicant need separate controls.
Follow the accepted speaker into the programme
An accepted proposal may still need confirmation, scheduling and further information. Those are distinct stages, with clear ownership and deadlines.
Digital Solutions can plan a first version covering submission, reviewer assignment, review and an approved decision. Test a revised abstract, a reviewer withdrawing and an applicant being accepted subject to changes.
