Can You Add AI to Existing Business Software Without Rebuilding It?

Adding AI does not always require replacing the application your team already uses. A carefully scoped addition might help classify incoming requests, draft explanations or retrieve approved information. Feasibility depends on access to the existing system and the job you want the AI to perform.

Choose one bounded use case

Start with a task whose result can be checked. For example, an assistant could suggest a category for a service request while a member of staff confirms it. Define what success means and when the system must ask for help. Avoid giving an AI component broad authority simply because a connection is technically possible.

Review the existing connection options

Check supported APIs, database access rules and available source code. An integration layer may allow an AI service to work alongside an application. Some older or closed systems offer limited options, and a technical review may show that changes are needed before useful integration is possible. Direct database writes require particular care because they can bypass application rules.

Keep authoritative records and permissions clear

Decide which system owns each record and what the AI may read. A summary should not quietly replace the source information. Treat imported documents and messages as untrusted content. Instructions inside them must not grant access or authorise actions. Use narrow permissions and retain a record of approved changes.

Can AI update records automatically?

Only within an explicitly designed and tested process. A draft suggestion with human approval is often a useful starting point. Define validation, duplicate prevention and a recovery route before allowing writes. Test misleading inputs, unavailable services and incorrect outputs as part of the assessment.

How do we decide whether it is worth doing?

Run a limited trial with representative tasks and agreed data-handling rules. Measure correction effort and completed outcomes as well as speed. Include model usage, hosting, monitoring and ongoing maintenance in the budget. Keep a manual route available so essential work does not depend on an untested AI response.
