Discuss your software requirements
A good brief explains what your business needs to achieve and how work happens today. It does not require technical language or a finished screen design. Clear examples help a developer understand the decisions, information and exceptions that an application must support.

A practical example
For a maintenance system, describe how a repair request arrives, who approves it, who assigns a contractor and what confirms completion. Include an urgent request, a rejected quote and an unsuccessful visit. These examples reveal requirements that a simple feature list often misses.
Questions and answers
What should the brief contain?
Include the problem, intended users, main workflow, information handled, existing systems, outputs and constraints. State who can make decisions and how you will recognise a successful first release.
Do we need to specify every feature?
Separate essentials from optional improvements. Explain the result you need before prescribing a particular screen or tool. This gives the supplier room to suggest a simpler way to achieve it.
What documents should we provide?
Use representative forms, reports and anonymised sample records where possible. Explain confusing fields and calculations. Avoid supplying unnecessary personal or confidential information during early discussions.
Prepare for a useful first discussion
Bring an example of the work you want to improve, a typical record and an exception that currently causes difficulty. Explain who carries out each step and which existing tools are involved. Separate the essential outcome from optional improvements so the first proposal can address a manageable piece of work.
Agree how you will test the result before development begins. The people doing the work should check a complete journey, including a correction or unsuccessful outcome. Use those findings to refine the scope and clarify responsibilities for support after launch.
